Context: Projects in Calpendo are digital bodies of work which can be used as a way of tracking research projects, study groups etc where bookings for resources will need to be linked to a single project.


Projects in Calpendo can be structured and configured in very unique ways to suit your own facility.  The default structure for a project is therefore something which can be significantly altered.  For any ideas or requests you have in relation to your project structure please get hold of the support team through sending an email to support@exprodo.com 


Suitable for: users and admins.  Please note that some Calpendo systems may have been configured with restrictions on who can create projects.  If you are unable to do so after following the instructions below please check with your local administrator.


Steps: The following steps are sufficient for creating and submitting a simple project. In a Calpendo where the project structure has received additional configuration there may be additional steps required for submitting a project which are specific to the Calpendo for your facility.

  1. Go to Projects in the menu bar and click Create Project. 
  2. Give each project a Project Code (this must be unique) and a Name
  3. The status field can be used to define how the project will be handled
    • If you are creating this project as an admin set the project to Approved if required so that non-administrators can use the project for booking
    • Non admins will not be able to create a project as approved unless your Calpendo has been modified to allow this
    • For non admins when you create the project it will be saved with a status of requested.  This will then need to be approved by an admin.
    • A project can also be created with a draft status.  This is useful for when you need to prepare a project over time before setting it to requested in order to submit a request for approval.
  4. Go to the Project Resource Settings tab.
    • Click the Choose Resources button.
    • In the dialogue box which lists available resources select the ones you wish to make available for use with this project.
    • When finished, click OK.
    • If the resource you need to submit bookings for is set to 'Authorised Projects only' the resource must be listed here in order to allow bookings to take place
  5. Go to the Users tab
    • Use the user drop down menu to add users to the project
    • When making bookings, users will only see projects to which they've been added
      Administrators and Resource Managers can choose any approved project for a booking
  6. Click the Save button to submit your project request (if status is set to requested)
