Reports are quick and easy to build in Calpendo, and can be created and saved by both Administrators and Users.  However as an Admin you may want to make a selection of useful reports available to users.


Report Manager 


When you create a report with Report Manager it is saved automatically into your Personal Reports folder.  


As an administrator, you have the option to set the 'System Wide' flag to 'true'.  This will cause the report to be saved into the System Reports folder and will be available for all users to run.  



A user will see all System Wide reports in their Report Manager, along with any reports they have made and saved themselves, or which you have assigned to them as the Owner.



These reports are also available from the Search page using the File dropdown.


Users can run these reports, and can also edit and save their own personal versions of them. They cannot overwrite the original report unless the 'Publicly Modifiable' property is set to 'true'.


Adding a Report to the Menu


If a report is regularly used, you may want to make it easy to access by adding it as a menu item.  This also gives you some additional control over how the report is used.



Go to Admin --> Menu Editor and edit the menu you are interested in.













Click 'New Item' to add a menu heading and change the label to 'Reports'














Click 'New sub-item' to add a level under 'Reports'.


Change the Type to Custom Page.


Change the Custom Page Type to Run Predefined Report











Select the System Report that you want to add.


The Label is the text that will show on the menu.


The Token is the unique identifier that will appear in the URL after a #







The last decision to make is whether the search bar will be available to the user.  If you select 'true' then only the specific report you have defined can be run from this page.   If you select 'false' then the standard search bar will be available at the top of the report they have run.  This will allow them to modify the conditions or columns for the report they've run, to load any other System Reports, or to search for any other data on the system which has not been protected.
